About MailroomIQ
What MailroomIQ is and how it fits your store.
Does MailroomIQ replace PostalMate?
No. MailroomIQ works alongside PostalMate. PostalMate remains your core system for mailbox customers, POS transactions, postage, and store operations. MailroomIQ adds a modern workflow layer for package intake, pickup notifications, virtual mail, reporting, label tools, billing support, and daily operational visibility.
Who is MailroomIQ designed for?
MailroomIQ is designed for mailbox, pack-and-ship, postal, and business-service stores that want a more organized way to manage packages, customer notifications, virtual mail, billing follow-up, labels, reporting, and daily staff work.
What does MailroomIQ actually do?
MailroomIQ helps your store manage the work that happens around mailbox customers, packages, mail, and staff follow-up. Your team can receive packages, notify customers, manage pickup workflows, handle virtual mail requests, print labels, review reports, and see what needs attention from one organized system.
What problem does MailroomIQ solve for my store?
MailroomIQ reduces the sticky-note and memory work that slows down a busy mailbox store. Staff no longer have to guess who was notified, what package is waiting, which client requested a scan, what fee needs billing, or what report needs review. MailroomIQ keeps the workflow visible, consistent, and easier to manage.
I already use another third-party tool to manage packages. Do I still need it?
MailroomIQ brings those workflows into one place. Package intake, pickup notifications, package status, label printing, reporting, virtual mail, and customer-facing workflows are handled inside MailroomIQ. For many stores, that means fewer extra tools and fewer disconnected processes.
Do I have to share my store revenue with MailroomIQ?
Does MailroomIQ replace my point-of-sale system?
No. Your existing point-of-sale and shipping systems continue to handle sales, postage, shipping transactions, and payment processing. MailroomIQ organizes the customer, package, mail, billing, and follow-up work surrounding those transactions.
Can multiple employees use MailroomIQ?
Yes. MailroomIQ supports the primary store computer and additional authorized workstations. Staff can work from the same organized store system while printers, devices, and workstation responsibilities remain clearly assigned.
Packages, Notifications & Customers
How MailroomIQ helps staff contact customers and move package work forward.
Can MailroomIQ send package pickup notifications?
Yes. MailroomIQ sends package pickup notifications by email and text message. It records whether each notification was sent, skipped, or failed, giving staff a clear history instead of leaving them to guess whether a customer was contacted.
Can customers choose email or text notifications?
Yes. Customer notification preferences can be managed by email, text message, or both. MailroomIQ uses the customer's saved contact information and notification preferences while keeping a clear delivery history for staff.
Can MailroomIQ send reminders for packages that have not been picked up?
Yes. MailroomIQ tracks package age and customer notification history so stores can follow up on items that remain unclaimed. Staff can quickly see which packages need attention and which customers have already been contacted.
Can customers confirm that they picked up an item?
Yes. Customers can mark an item as picked up through the customer app. MailroomIQ brings that confirmation back into the store workflow so staff can review and complete the appropriate local action.
What happens when a notification cannot be sent?
MailroomIQ records the reason, such as missing contact information, an unavailable delivery service, or a customer preference. Staff can review notification failures and correct the issue without searching through separate systems.
Can I print special-handling labels?
Yes. MailroomIQ includes a Label Library with prebuilt printable labels for fragile items, keep dry, do not bend, perishable, signature required, holidays, birthdays, weddings, graduations, gifts, and other common package situations. Staff can quickly pick the right label and print it on demand.
Can I design my own labels and barcodes?
Yes. MailroomIQ includes a Label Designer so stores can create and adjust local label templates. It supports custom text, live data fields, barcodes, QR codes, lines, boxes, circles, and store logos.
Virtual Mail & Mobile Apps
Customer access and mobile mail capture without losing store control.
Can my customers use an app to see their mail or packages?
Yes. MailroomIQ includes a customer app for enrolled customers. Customers can view package and mail information, see virtual mail images when enabled, request actions, and access store or customer account details. Access is controlled so each customer only sees their own mailbox information.
What is the virtual mail service?
Virtual mail lets your store receive mail for enrolled customers, capture envelope images, and let customers request actions such as scan contents, forward, shred or discard, report not mine, or mark picked up. It gives a traditional mailbox store a modern customer experience.
What is the MailroomIQ Operator App?
The MailroomIQ Operator App lets authorized store staff use an iPhone or iPad to photograph and process virtual mail. Staff can handle new mail inserts and rescan requests without being tied to a fixed camera or the main store computer.
Does the Operator App need to be on the same Wi-Fi network as the store computer?
No. The Operator App connects securely through MailroomIQ's cloud services. Staff can capture mail from an authorized mobile device, and the store system completes the local workflow as soon as it is available. Accepted mobile captures remain securely queued if the store computer or internet connection is briefly unavailable.
What can customers request through the Customer App?
Customers can review their mail and package information, view available images and scanned contents, request forwarding, request a content scan, ask for an item to be shredded or discarded, report that an item is not theirs, confirm pickup, and approve or decline forwarding quotes prepared by the store.
Are mail images saved to an employee's phone?
No. Images captured through the Operator App are handled inside the MailroomIQ workflow and are not saved to the employee's personal photo library.
Billing, Reporting & Revenue
Tools for online payment workflows, billing follow-up, and store visibility.
Can customers pay rental fees online?
Yes. MailroomIQ supports online billing and payment workflows through QuickBooks Online, including customer invoices and online payment links. It also works with connected payment options such as Square, Stripe, and PayPal, helping stores offer convenient payment choices while keeping billing activity tied to the correct customer and service.
Does MailroomIQ connect with QuickBooks Online?
Yes. MailroomIQ connects with QuickBooks Online for customer matching, invoice preparation, online payment links, payment-status updates, and billing follow-up. Staff remain in control of what is invoiced and when it is sent.
Does MailroomIQ automatically post payments into my point-of-sale system?
No. MailroomIQ tracks invoice and payment activity, but it does not silently write payments into PostalMate or CashMate. Store staff retain control of the final point-of-sale posting and reconciliation.
Can I set my own fees?
Yes. Stores can configure fees for mailbox services, virtual mail, scanning, forwarding, shredding, handling, storage, oversized packages, late payments, and other local services. Recommended starting options are included, and each store can adjust them to fit its business.
Can MailroomIQ show whether a fee was paid, waived, deferred, or invoiced?
Yes. MailroomIQ keeps a clear local billing history showing open charges, deferred amounts, waived fees, invoiced items, payments requiring local posting, and completed activity.
Can MailroomIQ help with carrier service failures and refund opportunities?
Yes. MailroomIQ helps identify possible carrier service failures, collect tracking evidence, and show late guaranteed-service opportunities. You decide whether to dispute with the carrier and pursue a refund, without handing a percentage of the recovery to a third-party claims company.
What reports are available?
MailroomIQ includes reports across mailroom activity, package aging, top PMB customers, average days held, carrier drop-offs, carrier audit and service failures, sales activity, sales tax, sales summaries, department and product sales, refunds, voids, discounts, register receipts, customer notifications, notification failures, and quarterly CMRA audit preparation.
What is the CMRA audit report?
The CMRA audit report helps mailbox stores prepare for quarterly CMRA reporting. It focuses on information stores need to review: PMB number, status, primary customer, secondary customers, business names, opened date, and closed date.
Does MailroomIQ help me find store revenue opportunities?
Yes. MailroomIQ helps surface opportunities that are easy to miss: high-volume PMB customers, aging packages, billable virtual mail actions, deferred fees, carrier drop-off activity, possible late-shipment recovery, and service workflows that may justify additional store fees.
Setup, Security & Daily Use
How MailroomIQ runs in the store and protects customer access.
Is MailroomIQ cloud-based or local?
MailroomIQ is local-first, so core store workflows continue to run from the store system. Cloud-connected features such as customer-app access, mobile captures, secure media, and online synchronization resume when the connection returns.
Where is my store's data kept?
Daily store operations are managed locally, while customer-app access, secure media, mobile workflows, and selected synchronization use protected cloud services. MailroomIQ keeps each store's information separated, customers can only access mailbox information connected to their authorized account, and customer data is not sold.
Does MailroomIQ write directly to PostalMate or Firebird?
No. MailroomIQ reads the information it needs through a controlled, read-only connection. It does not alter PostalMate, CashMate, or the underlying Firebird database.
How is MailroomIQ installed and used by employees?
MailroomIQ is installed on the store's primary workstation and connects authorized secondary workstations as needed. Store employees do not install or manage developer tools, database tools, cloud utilities, or printer-development software. MailroomIQ packages the required components and presents a normal branded store application.
Can MailroomIQ use printers attached to different store computers?
Yes. Printers are assigned to the workstation where they are installed, and MailroomIQ routes label and document printing to the correct authorized printer. Staff do not have to use browser print dialogs for normal workflows.
What happens when MailroomIQ is updated or needs support?
MailroomIQ updates preserve store configuration, customer settings, label customizations, printer assignments, and local operational data. MailroomIQ also includes health checks, safe diagnostic information, activity history, and support-bundle tools to help identify connection, synchronization, printing, notification, and configuration issues without exposing customer passwords or protected credentials.
