Does MailroomIQ replace PostalMate?

No. MailroomIQ works alongside PostalMate. PostalMate remains your core system for mailbox customers, POS transactions, postage, and store operations. MailroomIQ adds a modern workflow layer for package intake, pickup notifications, virtual mail, reporting, label tools, billing support, and daily operational visibility.

Yes. Customer notification preferences can be managed by email, text message, or both. MailroomIQ uses the customer's saved contact information and notification preferences while keeping a clear delivery history for staff.

Yes. MailroomIQ includes a customer app for enrolled customers. Customers can view package and mail information, see virtual mail images when enabled, request actions, and access store or customer account details. Access is controlled so each customer only sees their own mailbox information.

Virtual mail lets your store receive mail for enrolled customers, capture envelope images, and let customers request actions such as scan contents, forward, shred or discard, report not mine, or mark picked up. It gives a traditional mailbox store a modern customer experience.

The MailroomIQ Operator App lets authorized store staff use an iPhone or iPad to photograph and process virtual mail. Staff can handle new mail inserts and rescan requests without being tied to a fixed camera or the main store computer.

No. The Operator App connects securely through MailroomIQ's cloud services. Staff can capture mail from an authorized mobile device, and the store system completes the local workflow as soon as it is available. Accepted mobile captures remain securely queued if the store computer or internet connection is briefly unavailable.

Customers can review their mail and package information, view available images and scanned contents, request forwarding, request a content scan, ask for an item to be shredded or discarded, report that an item is not theirs, confirm pickup, and approve or decline forwarding quotes prepared by the store.

No. Images captured through the Operator App are handled inside the MailroomIQ workflow and are not saved to the employee's personal photo library.

Yes. MailroomIQ supports online billing and payment workflows through QuickBooks Online, including customer invoices and online payment links. It also works with connected payment options such as Square, Stripe, and PayPal, helping stores offer convenient payment choices while keeping billing activity tied to the correct customer and service.

Yes. MailroomIQ connects with QuickBooks Online for customer matching, invoice preparation, online payment links, payment-status updates, and billing follow-up. Staff remain in control of what is invoiced and when it is sent.

No. MailroomIQ tracks invoice and payment activity, but it does not silently write payments into PostalMate or CashMate. Store staff retain control of the final point-of-sale posting and reconciliation.

Yes. Stores can configure fees for mailbox services, virtual mail, scanning, forwarding, shredding, handling, storage, oversized packages, late payments, and other local services. Recommended starting options are included, and each store can adjust them to fit its business.

Yes. MailroomIQ keeps a clear local billing history showing open charges, deferred amounts, waived fees, invoiced items, payments requiring local posting, and completed activity.

Yes. MailroomIQ helps identify possible carrier service failures, collect tracking evidence, and show late guaranteed-service opportunities. You decide whether to dispute with the carrier and pursue a refund, without handing a percentage of the recovery to a third-party claims company.

MailroomIQ includes reports across mailroom activity, package aging, top PMB customers, average days held, carrier drop-offs, carrier audit and service failures, sales activity, sales tax, sales summaries, department and product sales, refunds, voids, discounts, register receipts, customer notifications, notification failures, and quarterly CMRA audit preparation.

The CMRA audit report helps mailbox stores prepare for quarterly CMRA reporting. It focuses on information stores need to review: PMB number, status, primary customer, secondary customers, business names, opened date, and closed date.

MailroomIQ is local-first, so core store workflows continue to run from the store system. Cloud-connected features such as customer-app access, mobile captures, secure media, and online synchronization resume when the connection returns.

Daily store operations are managed locally, while customer-app access, secure media, mobile workflows, and selected synchronization use protected cloud services. MailroomIQ keeps each store's information separated, customers can only access mailbox information connected to their authorized account, and customer data is not sold.

No. MailroomIQ reads the information it needs through a controlled, read-only connection. It does not alter PostalMate, CashMate, or the underlying Firebird database.

MailroomIQ is installed on the store's primary workstation and connects authorized secondary workstations as needed. Store employees do not install or manage developer tools, database tools, cloud utilities, or printer-development software. MailroomIQ packages the required components and presents a normal branded store application.

Yes. Printers are assigned to the workstation where they are installed, and MailroomIQ routes label and document printing to the correct authorized printer. Staff do not have to use browser print dialogs for normal workflows.

MailroomIQ updates preserve store configuration, customer settings, label customizations, printer assignments, and local operational data. MailroomIQ also includes health checks, safe diagnostic information, activity history, and support-bundle tools to help identify connection, synchronization, printing, notification, and configuration issues without exposing customer passwords or protected credentials.
